Who is responsible

The controller is Gabriel John Fordan (Vendrato), Philippines. Contact: gabrieljohnfordan@gmail.com.

Your app data stays with you

The Every Fill app collects no data. There is no account, analytics, advertising, tracking or third-party SDKs.

Your vehicle records and receipt photos stay on your iPhone and in your own iCloud Drive. We cannot access them. Backups use iCloud Drive documents only. There's no CloudKit database, no server and no Every Fill account, so there is no copy we can read. You can also save a backup file (.efbackup) anywhere you choose in the Files app.

Every Fill backs up automatically to the app's own folder in your iCloud Drive, using your Apple Account. It backs up shortly after you make changes, at least once a day when you use the app, and always before an import. If iCloud is off or full, backups are kept on your iPhone instead, and the app shows that status.

The app keeps the last 7 daily backups and the last 5 taken before imports, and removes older ones automatically. Delete all data removes them all.

Deleting the app removes local data. iCloud backups remain until you use Delete all data in the app or remove them in iCloud settings (Settings › [your name] › iCloud › Manage Storage › Every Fill).

Settings › Export all data (CSV + photos) gives you all your records as CSV files plus your receipt photos in a zip file, free, at any time. Exported files go only where you save or share them, and Delete all data doesn't remove them.

Location

The app doesn't use your location. If a Fuelly file you import contains latitude and longitude columns, those columns are skipped and not stored.

Notifications

Reminders are local notifications scheduled on your iPhone. No server is involved, and there are no marketing notifications.

What we do receive

Support emails

If you email us, we receive your email address and the information you include. We use this to answer you. The lawful basis is our legitimate interest in responding to support requests, following your request for help.

We keep support emails for 24 months, then delete them. This applies to support emails only. Server logs and app backups are covered in their own sections.

Support emails are kept in our email provider's mailbox (Gmail, provided by Google LLC in the United States). Support email is handled through Gmail under Google's Privacy Policy and Terms, including its transfer safeguards.

Data Apple provides

If you have chosen to share analytics with app developers in your iPhone's settings, Apple may give us crash reports and app usage statistics through App Store Connect. Apple collects these under its own privacy policy. We use them only to fix problems. The app contains no third-party code or SDKs, and no analytics or crash-reporting tools of its own.

Website server logs

Host: Cloudflare Pages (Cloudflare, Inc., United States). When you visit this website, Cloudflare processes log data about the request on our behalf, most often your IP address, together with information such as your browser’s user agent and the page requested, for security and operation of the website. The lawful basis is our legitimate interest in operating and securing the website.

Cloudflare states that it processes this log data in its data centers in the U.S. and Europe for a limited period of time. Cloudflare does not publish a fixed retention period for it, so we cannot give you an exact figure. We do not turn on any optional logging, log export or analytics for this website. Cloudflare’s privacy policy and data processing addendum describe its recipients and international transfer safeguards.

This website uses no cookies, analytics or tracking. We do not use personal information for automated decision-making or profiling.

Your rights

Where the GDPR or UK GDPR applies, you may request access, correction, erasure, restriction of processing and portability, and object to processing under Articles 15–21. You also have the right to complain to a supervisory authority. Contact us to exercise rights concerning information we hold; we cannot access your app records.

Under the Philippine Data Privacy Act of 2012 (RA 10173), applicable rights include being informed, access, objection, correction, erasure or blocking, data portability, and seeking damages. You may raise a complaint with the National Privacy Commission.

US state privacy rights

For California and other US states with privacy laws, such as the CCPA/CPRA, the categories of personal information we may hold are identifiers and the contents of support emails you send us. Server logs (IP address, browser user agent, page requested) are ones our host, Cloudflare, processes on our behalf. The app keeps your records on your iPhone and in your own iCloud Drive; we don't receive them.

You can ask what personal information we have collected about you and why, and ask us to delete or correct it. To make a request, email gabrieljohnfordan@gmail.com. We reply from that same address and may ask for details that match the request. An authorized agent can make a request on someone's behalf. We don't sell or share personal information, so there's nothing to opt out of. We won't treat you differently for using your rights. We reply within 45 days.

Children

Every Fill is a general-audience app. It isn't directed at children under 13 (or under 16 in the EEA), and we don't knowingly receive personal data from them. The app itself collects no data from anyone. If you believe a child has emailed us personal information, contact us and we'll delete it.

Security

We take reasonable steps to protect the personal data we hold (your emails to us). If a breach ever affected it, we'd tell you and the authorities where the law requires it.

Changes to this policy

If anything changes, we'll update this page and its effective date. If the app ever starts collecting data, this policy and the App Store privacy label will change before that version is released.
